THE ROLE…
As the first point of contact for all visitors and telephone inquiries – the candidate will need to provide a professional front of house service for our clients site in Llandysul
- Handle Incoming Calls – Manage all incoming calls via the main switchboard, transferring them appropriately, taking accurate messages, and ensuring timely responses. Check voicemail each morning and distribute messages; activate night service at the end of the day.
- Greet all visitors and contractors professionally. Issue visitor badges, manage sign-in/out in the Visitors’ Book, arrange collections for meetings, and provide refreshments when needed. Monitor the security system and operate gates as required.
- Organise daily employee sandwich orders.
- Sort and distribute incoming mail. Maintain the reception fax machine and photocopier, and ensure all six site photocopiers are stocked with supplies
- Arrange external meeting rooms and coordinate required equipment (e.g., speakerphones, VC, flip charts) through IT as needed. Keep meeting rooms clean and ready for use.
- Manage internal meeting room schedules and assist staff in checking availability.
- Coordinate travel for site visitors upon request, including booking local hotels and arranging transport from stations or airports.
WHAT YOU WILL NEED..
- Experience in Facilities or Front of House roles.
- Strong administrative background with advanced skills in Microsoft Outlook, Word, Excel, and PowerPoint.
- IOSH Managing Safely qualification is a plus.
- Minimum of GCSE-level education (or equivalent).
- Maintain a professional manner at all times.
